Thanks for calling. For English, press 1 — pour le français, faites 2.

Connecting you to Service. Ringing the on-call tech…

Every call is answered the same way, at any hour, in either language.

01

The Call

Answered

The phone rings while you are on a roof, under a sink, or closed for the night. The flow picks up either way.

  • The same answer on every call
  • Evenings, weekends and holidays included
  • Caller ID and number captured
  • Nobody waits for someone to be free
02

Language Choice

Chooses

The first thing the caller does is pick their language — before anything else is asked of them.

  • English or French, chosen by the caller
  • Every prompt after it stays in that language
  • Voicemail in the language they picked
  • No half-English, half-French call paths
03

Routing

Routes

Where the call goes is decided by what the caller needs, not by who happens to be free.

  • By department, service or branch
  • By schedule, so evenings do not follow morning rules
  • By postal code or service area on multi-site builds
  • Every branch tested before it goes live
04

Screening

Screens

Your team hears who is calling and what it is about before they accept the transfer.

  • The caller and their reason announced first
  • Accept or pass, without the caller hearing it
  • No more answering blind in the middle of a job
  • Screening applies at every destination
05

When Nobody Accepts

No dead ends

The part of a call flow that actually matters is what happens when the transfer is not accepted.

  • Unaccepted transfers land somewhere deliberate
  • Voicemail in the language the caller picked
  • Overflow to a central mailbox on multi-site builds
  • No path in the flow ends in silence
06

After Hours & On-Call

Covers

A call at 7:42 PM does not follow the same rules as the same call at 9 AM.

  • Business-hours and after-hours rules
  • An on-call schedule tries the right person first
  • Sequential escalation to the next when they cannot accept
  • The flow routes and escalates; your team commits to answering
07

AI Voice Agent (Add-On)

Optional

Everything above runs with no conversational AI in it. If you want one, it layers on top of the same flow.

  • Answers in your business name from a script you approve
  • Qualifies the caller and can book the appointment
  • Never claims to be a person
  • Hands off to your team on anything needing judgment

The First Ten Seconds Decide What the Caller Thinks of You

A caller learns almost everything about how you run your business before anyone says hello. Whether the greeting is in their language. Whether they reach the right department or get passed around. Whether calling at 7pm produces anything at all. In a bilingual market, an English-only greeting quietly tells half your callers they are in the wrong place.

Smart Reception is the front door: language selection first, then routing by intent, department, branch or schedule, with screening so your team knows who is calling before they accept. When a transfer is not accepted, the call lands somewhere deliberate instead of ringing out.

The base layer is a configured call experience: every path behaves the same way every time, including the paths where things go wrong. On top of it you can add an AI voice agent that answers, qualifies the caller and books the appointment, working from a script you approve — it never claims to be a person, and it hands off to your team on anything that needs judgment.

FAQ

Smart Reception FAQ

Is this a live receptionist or an AI receptionist?

Neither by default, and nobody at Alliance Optima answers your calls. The base build is a configured call flow — menus, routing, screening and voicemail — with no conversational AI in it, which is what makes it testable and predictable, and your own team takes the calls. The AI voice agent is an add-on: it answers in your business name, qualifies the caller and books into your calendar from a script you approve. It never claims to be human, and anything outside the script goes to your team.

Can callers still reach a person directly?

Yes, and we usually recommend it. A well-designed flow gets people to a human faster, it does not trap them in a menu. We can keep a direct path for existing customers or a zero-out option to a person at any point.

Do I need to replace my phone number?

Usually not, but it depends on your carrier and how we design the flow. Some numbers port, some are better forwarded, and some carriers make porting difficult. We confirm this during discovery and tell you what applies to your line before you commit.

Can it route emergency or after-hours calls?

Yes — an on-call schedule can try the right person first and escalate to the next when the first cannot accept. What we will not do is guarantee a response time, because that depends on your on-call staff actually being reachable. The system routes and escalates; your team commits to answering.

Can it handle multiple locations?

Yes. We can route by branch selection, postal code, service area or schedule, with overflow rules and a central voicemail, and report per location. That capability sits in the top tier because it materially changes the amount of configuration and testing involved.

Do you record calls?

Only if you deliberately ask for it — recording is off by default. If you enable it, recording notices and consent may be required depending on the situation, and we configure the appropriate notice as part of the build. We design with these considerations in mind; we do not provide legal advice.

How long does it take to build?

It depends on how many branches, languages, destinations and schedules your flow has, and on how quickly you approve scripts. A bilingual menu with three destinations is a much shorter job than multi-location routing with an on-call schedule. We scope the timeline at discovery rather than promising a fixed date up front.

Vertical solution

If you run a repair shop, collision centre, diesel garage or detailing business, this service is part of a larger managed system: vehicle intake, bilingual communications, missed-call recovery and follow-up, configured for your type of business.
